Terms & Conditions

The following booking conditions form the basis of your contract with Adventure Alternative Nepal ("we", "us" and "our"). Please read them carefully as they set out our respective rights and obligations. By asking us to confirm your booking, we are entitled to assume that you have had the opportunity to read and have read these booking conditions and agree to them.

These booking conditions only apply to the trip arrangements which you book with Adventure Alternative Nepal and which we agree to make as part of our contract with you. All references in these booking conditions to "trip", "booking", "contract" or "arrangements" mean such trip arrangements unless otherwise stated. References to "departure" mean the start date of these arrangements.

1. To make a booking, please fill in our booking form as well as our medical form, which you have to send back to us, or contact us either via email or telephone. In this case, please download the medical form, which you will find on the bottom of our website. Each participant has to fill out a medical form. If you are under 18, to form has to be signed by your parent or guardian.
Upon confirmation of your availability arrangements to take part in one of our trips, your booking will be securely treated and a contract will be drawn up once the invoice has been sent to you. Please check your invoice carefully as soon as you receive it. Contact us immediately if any information which appears on the invoice or any other document appears to be incorrect or incomplete.

2.       A 35% deposit of the quoted price on our dollar account for any trip must accompany the booking.
if the amount (including any surcharge where applicable) is not received by the due date, we reserve the right to cancel the whole trip. Therefore Adventure Alternative Nepal will not be held liable of this cancellation if the participant decides in his will not to pay the deposit. The deposit is non-refundable.

Please note that the Nepalese government charges heavy tourism taxes on the local businesses (13% on turnover and a second 30% on profit). Therefore, we would kindly ask you to pay us the balance amount of your trip via our PayPal account at least one month in advance. We thank you  for your understanding on this matter.

3.  Price estimate for any type of trip includes the cost of planning, trip arrangements, carrying out of the trip, equipment (treks and expedition logistics), accommodation, administration costs and staff salaries. Other costs for which you are upon you are: vaccination fees, travel insurance (see below), international flights, passport and visas, personal equipment, personal expenses during the trip and any other expenses not included on the trip description. For more information about what is included and excluded, have a look on the different activities.

We reserve the right to make changes to and correct errors in quoted prices at any time before your trip is confirmed. We will advise you of any error of which we are aware and of the then applicable price at the time of booking.

Once the price of your chosen trip has been confirmed at the time of booking, then subject to the correction of errors, we will only increase or decrease the price in the following circumstances. A surcharge or refund (as applicable) will be payable, subject to the conditions set out in this clause, in the event of any change in our transportation costs or in dues, taxes or fees or in the exchange rates which have been used to calculate the cost of your trip. If any surcharge is greater than 10% of the cost of your trip, you will be entitled to cancel your booking and receive a full refund of all monies you have paid to us or alternatively purchase another trip from us. A refund will only be payable if the decrease in our costs exceeds 2% of the total cost of your trip as set out above. Where a refund is due, we will pay you the full amount of the decrease in our costs.

4. Travel insurance. It is essential that you have adequate and appropriate cover for your trip including any adventurous activities such as trekking at altitude. It is important to have adequate insurance which will cover cancellation costs from the date of booking as well as medical expenses (including evacuation and repatriation). On all of our trips, please carry with you a a valid and suitable cover, for adventurous activities, for instance trekking at high altitude, or helicopter rescue.

Note: most of our trips do not require the use of climbing ropes and are all well conducted. It is crucial to have insurance for medical expenses (including evacuation and repatriation).

5.  Health: We ask you to fill in our medical form prior your confirmation. If any information given in the application form or medical form is shown to be materially incorrect or incomplete, we reserve the right to cancel your booking or terminate your participation in the trip, depending on when we become aware of the true position. In this situation, cancellation charges will apply and we will not be responsible for any costs or expenses incurred as a result.

Every participant is responsible for his or her own health (medicaments, vaccinations etc). Please enquire yourself at your GP or at your local clinic before undergoing your trip.

When travelling to Nepal, several precautions can be taken in order to stay healthy and feel good throughout your whole trip:

  • Keep your hands clean

  • Protect yourself from the sun

  • Watch what you eat and drink

  • Please ask the hosts of our guesthouse to give you the necessary information in regards to health

6. Cancellation of bookings must be advised to us by letter or email (advaltnepal (@) gmail.com). Note that your cancellation request will only be accepted in writing. Effective period before departure to cancel your booking is as follows:

  • Cancellation four months before departure: 65% of quoted price will be refunded.

  • Cancellation two weeks before departure your booking will be non-refundable.

7. The itinerary is a guide to which we will attempt to adhere, but it may be necessary to alter this at short notice as a result of circumstances or events outside our control such as adverse weather or road conditions or any of those amounting to force majeure, or due to the operating conditions imposed by owners and operators of accommodation, facilities and transport. Your itinerary will, however, be the same in content as far as is reasonably possible, unless circumstances beyond our control make this impossible.

8. Changes and cancellation by us: As referred to above, we may have to make changes to and correct errors in advertised and confirmed details and also cancel confirmed bookings which we must reserve the right to do. Please note, our trips require a minimum number of 2 participants to enable us to operate them. If the minimum number of bookings required for a particular trip have not been received, we are entitled to cancel it. We will notify you of cancellation for this reason no less than 4 weeks prior to departure.

9.       Our Liability to you:

  1. We promise to make sure that the trip arrangements we have agreed to make, perform or provide as applicable as part of our contract with you are made with reasonable skill and care. We will not be responsible for any injury, illness, death, loss (including loss of possessions and loss of enjoyment), damage, expense, cost or other sum or claim of any description whatsoever which results from any of the following:

    • your act(s) and/or omission(s); or

    • the act(s) and/or omission(s) of a third party not connected with the provision of your trip and which were unforeseeable or unavoidable

  2. Please note, we cannot accept responsibility for any services which do not form part of our contract. This includes, for example, any additional services which any supplier (including any of our regional companies – see below) agrees to provide or arrange for you where we have not agreed to provide or arrange these services as part of our contract. Such additional services will include any activities which do not form part of your contracted trip arrangements which a supplier agrees to provide or arrange for you while you are away.

  3. Concering confidentiality of your medical form, we will ensure you that this form will be kept under strict confidence as well as all of the other records you provide under registration.

  4. Please note, we cannot accept any liability for any damage, loss, expense or other sum(s) of any. Additionally we cannot accept liability for any business losses including self employed loss of earnings.

10. Delay: We regret we are not in a position to offer you any assistance in the event of delay at your outward or homeward point of departure.

11. The Foreign and Commonwealth Office publishes regularly updated travel information on its website https://www.gov.uk/foreign-travel-advice/nepal which you are recommended to consult before booking and in good time before departure.

12. Conditions of suppliers: Suppliers, including transport operators, provide their services in accordance with their own terms and conditions. These terms may limit or exclude their liability to you in the event of death, personal injury, delay or loss / damage of personal possessions.

13. Passport and visa requirements: Please note that it upon you to get a visa as well as insure that your passport is valid. You must ensure you are in possession of all necessary travel and health documents before departure. All costs incurred in obtaining such documentation must be paid by you. We regret we cannot accept any liability if you are refused entry onto any transport or into any country due to failure on your part to carry all required documentation.

14. Our website: The information contained in our website and in our other advertising material is believed correct to the best of our knowledge at the time of publication. However, errors may occasionally occur and information may subsequently change. You must therefore ensure you check all details of your chosen trip (including the price) with us at the time of booking.

15. Company insurance and public liability: Adventure Alternative Nepal holds a full tour operator’s company insurance, to ensure its employee's and public’s liability are covered in case of injury or accident during a trip. However, the policy only includes covering of Nepalese staff or public. Therefore, all foreigners or non-Nepalese will not benefit from this protection. 16. Financial security: Adventure Alternative Nepal holds a dollar client account for which all booking payments must be deposited in dollar prior to a trip. Note the money on this account remains untouched until the holiday takes place. Thus your money is safe and is not used to cover expenses. If the company Adventure Alternative Nepal should go bankrupted before your trip, you will receive your money back.

If you have a complaint about your arrangements whilst away, you must immediately notify our group leader and the relevant supplier of the service.  Any verbal notification must be put in writing and given to our trip guide and the supplier as soon as possible. Most problems can be dealt with quickly. If you remain dissatisfied with their action in response please follow this up within 35 days of your return home by emailing us at advaltnepal (@) gmail.com or by writing to Adventure Alternative Nepal, P.O. Box 8974, CPC 380, Bansbari, 44600 Kathmandu, Nepal, giving your booking reference and all relevant information. We will acknowledge your written notification within 30 days and aim to provide a full response within 28 days. Please note that the post system is reduced in Nepal and responses may take longer to reach you.
